We’re looking for a Funding Administration Manager who loves organisation, enjoys supporting others, and takes pride in making complex things run smoothly. This role provides high-level executive and administrative support to the Head of Funding and Funding Leads and sits right at the heart of our funding operations.
If you’re someone who enjoys variety, values collaboration, and gets real satisfaction from keeping everything on track behind the scenes, this could be a great fit.
About the role
In this role, you’ll help ensure our funding processes run seamlessly - from reporting and board papers through to assessments, documentation, and data management. You’ll work closely with colleagues across NZFC, and be part of a wider, supportive administration team.
No two days are quite the same, and your ability to stay organised, think ahead, and build strong relationships will make a real difference.
What you’ll be doing
Providing senior-level executive and administrative support, including diary management, meeting coordination, agendas, and minutes.
Coordinating statutory, executive, and board reporting, including KPIs and board papers.
Managing funding documentation, guidelines, contracts, and records in line with organisational requirements and the Public Records Act 2005.
Collecting, analysing, maintaining, and reporting on data to support decision-making and special projects.
Managing filing systems, databases, spreadsheets, and data collection tools.
Scheduling funding assessments, contracting assessors, and liaising with assessors throughout the assessment process.
Working with internal teams to support funding communications, sector updates, newsletters, and website content.
Working with other teams to ensure funding processes are accurate, efficient, and well supported.
Coordinating travel bookings and working with the wider support team to ensure continuity during leave or busy periods.
You will bring:
Significant experience providing executive or senior-level administrative support
Confidence managing complex timelines, reporting, and board documentation
Strong data management and spreadsheet skills, with high proficiency in Microsoft 365
Excellent organisational skills and a great eye for detail
Experience working with confidential information, contracts, or guidelines
An understanding of or ability to quickly develop knowledge of public funding or the screen sector.
Just as importantly, you’ll be someone who:
Enjoys working collaboratively and building positive, trusted relationships
Communicates clearly and adapt your style to suit different audiences
Is comfortable working in a digitally enabled environment
Values inclusion and works in partnership with Māori as a Treaty partner
Cares about wellbeing, sustainability, and contributing to a healthy workplace.
This is an opportunity to do meaningful work in a creative, purpose-driven organisation, and to help support the stories that shape Aotearoa.
